Payment Settings

All Plans

The Payment Settings page allows you to configure how payments work in CloudBridal, including payment methods, default behaviors, and how additional fees are handled.

General Payment Settings

  • Payment Methods: Define the payment methods you accept (Credit Card, Cash, Check, Bank Transfer, etc.)
  • Default Payment Deposit %: Set a default deposit percentage for new payments (e.g., 60%)
  • Hide Order Filter: Option to disable filtering in the payment history screen
  • Hide Total Amounts Table: Hide the payment breakdown table in payment history

Component Payment Handling

Control how various order components are paid for:

  • Alterations Paid Separately: When enabled, alterations are processed as separate payments
  • Additional Work Paid Separately: When enabled, additional work is processed as separate payments
  • Additional Fees Paid Separately: When enabled, additional fees are processed as separate payments

By default, these components are now combined into a single payment. Enable these options to return to the previous behavior of splitting payments.

Payment Status Options

When creating a new payment, you can now set its status:

  • Paid: Default status for completed payments
  • Pending: Used for forecasting future payments or recording payments not yet processed

The pending status helps you track expected payments while maintaining accurate financial reports.

Payment Plans

Payment plans allow you to create structured payment schedules for customers. See the Payment Plans documentation for detailed information.

Payment Receipts

After processing a payment, you can send a dedicated payment receipt to your customer:

  • Email receipt
  • Text receipt (requires Twilio integration)
  • Print receipt

The payment receipt is distinct from the Order Summary and includes specific payment details.

Online Payment Processing

Stripe Integration

CloudBridal partners with Stripe for secure payment processing. The core settings have been moved to the dedicated Stripe Settings page, where you can:

  1. Connect your Stripe account
  2. Configure card reader settings
  3. Enable/disable various payment features:
    • In-person payments using card reader
    • Manual card entry
    • Online payment links
    • Client portal payments
    • Paid appointments
    • Refund processing
    • Tip collection

Payment Links

Core Plan Ultimate Plan

Payment links allow you to send customers a secure URL where they can make a payment online:

  1. Enable Payment Links in Stripe Settings
  2. Create a new payment and select "Payment Link"
  3. Choose how to send the link (email, SMS, or direct URL)
  4. Customers can pay online using the link
  5. The payment is automatically recorded in CloudBridal

Configure defaults for payment links:

  • Default Payment Link Subject: Default email subject when sending payment links
  • Default Payment Link Message: Default email message for payment links

Client Portal Payments

If you have the Client Portal enabled (Ultimate plan), customers can make payments directly through their portal:

  • View balances and payment schedules
  • Pay their current balance
  • Make payment plan installments
  • View payment history

Refund Processing

CloudBridal now supports tracking refunds:

  1. Find the payment to refund
  2. Click the Refund button
  3. Enter refund amount (partial or full)
  4. Process the refund through Stripe or mark as refunded
  5. The system updates the payment record and order balance

Payment Number Tracking

Payments now include a Payment Number field, which works similarly to order numbers:

  • Automatically generated unique identifier for each payment
  • Configurable format with numerical sequence
  • Helps with payment identification and reconciliation

Processing Fees

When using Stripe for payment processing:

  • Standard Stripe processing fees apply based on your country. Note: Stripe's pricing page shows online processing fees, but in-person transactions through the card reader are generally lower. Scroll to the Terminal section to see the rates for in-person transactions.
  • CloudBridal platform fee of 0.25%
  • Lower rates for card-present transactions using card readers

Reports and Analytics

Several reports are available to analyze payment data:

  • Payments Created: Lists all payments in a date range
  • Refunds: Shows all refund transactions
  • Staff Member Tips: Displays tips received by each staff member
  • Financial Insights Dashboard: Provides payment metrics and trends
